Key Responsibilities:

1. Export Documentation Management:

• Pre-Shipment Documentation:
• Oversee the preparation of all necessary pre-shipment documents for Customs House Agents (CHA) and ensure compliance with customs regulations.
• Post-Shipment Documentation:
• Prepare and verify post-shipment documents, including Commercial Invoice, Packing List, Certificate of Origin, Bill of Lading, Insurance Certificate, and Shipment Advice in accordance with Letter of Credit (LC) terms, as well as DA/DP terms for exports.
• Ensure that all required documents are accurate and align with the terms and conditions of the sales contract or Letter of Credit.

1. Banking Coordination:

• Prepare and submit all export-related documents to banking partners as required for payment processing.
• Ensure all documentation complies with LC terms to facilitate smooth payment collection.

1. Customs & Clearance Coordination:

• Liaise with Customs House Agents (CHA) for timely clearance of goods, managing any issues or delays related to customs procedures.
• Ensure smooth movement and clearance of containers at the port, managing any challenges that may arise during the customs clearance process.

1. Purchase Orders & Delivery Scheduling:

• Review and process purchase orders, ensuring timely scheduling of deliveries based on finalized sales contracts.
• Coordinate with production and inventory teams to ensure that goods are ready for export within the stipulated timelines.

1. Customer Communication & Shipment Updates:

• Update customers regularly about the status of their shipments, providing necessary documentation and answering queries related to the shipment process.
• Ensure transparency and customer satisfaction by proactively addressing any potential shipment delays or issues.

1. Payment Follow-up:

• Follow up with customers regarding pending payments, ensuring timely receipt of payments for goods shipped, especially under DA/DP terms.
• Coordinate with finance teams to ensure proper tracking and reporting of outstanding payments.

1. Compliance & Regulatory Filing:

• File monthly export declarations with relevant government bodies like ECGC (Export Credit Guarantee Corporation) and REX (Registered Exporter) for compliance purposes.
• Ensure all export transactions are in accordance with relevant export regulations, including filing necessary paperwork for export incentives, if applicable.

1. Team Management & Training:

• Lead and manage the export documentation and logistics team, ensuring that the team operates efficiently and accurately.
• Provide training to the team on export documentation procedures, compliance requirements, and logistical best practices.

1. Process Improvement:

• Continuously review and improve export documentation and logistics processes to ensure efficiency, accuracy, and cost-effectiveness.
• Identify any gaps in current workflows and implement solutions to improve overall export operations.
