Job Overview
We are seeking a Mid-Level Front Office Administrator to join our full-time team at our Coimbatore office. The successful candidate will play a crucial role in managing front office operations, handling communications, and supporting administrative tasks. This position is ideal for an individual possessing strong organizational skills and the ability to manage multiple priorities efficiently.
Qualifications and Skills
- Proficiency in Microsoft Office Suite, essential for daily office correspondence and documentation tasks (Mandatory skill).
- Experience with multiline phone systems for managing incoming and outgoing calls efficiently (Mandatory skill).
- Familiarity with document management systems to ensure organized and accessible office records (Mandatory skill).
- Skill in using customer relationship management software for maintaining client interactions and records effectively.
- Competence in appointment scheduling software to manage calendars and organize meetings efficiently.
- Excellent data entry skills with attention to detail for maintaining accurate office databases.
- Experience with online meeting platforms to facilitate virtual communications and meetings.
- Basic knowledge of accounting software for handling simple financial tasks and transaction records.
Roles and Responsibilities
- Oversee the front desk operations, ensuring all visitors are welcomed and directed appropriately.
- Manage the telephone system, including answering, transferring, and handling inquiries efficiently.
- Coordinate office supply inventory, ensuring sufficient stock levels while maintaining cost-effectiveness.
- Organize and schedule meetings, appointments, and manage the front office calendar effectively.
- Support internal communication by drafting, proofreading, and distributing memos and announcements.
- Manage and maintain document filing systems, ensuring all information is securely stored and easily accessible.
- Assist in basic bookkeeping duties such as invoicing, expense recording, and maintaining financial records.
- Liaise with clients and external vendors, enhancing relationships and ensuring high service levels.
