Job Overview
We are seeking a diligent and customer-focused Front Desk Receptionist for our Prabhadevi location. This full-time, junior-level position requires a minimum of 1 to maximum of 3 years of work experience. The ideal candidate will possess strong multitasking abilities and a friendly demeanor to manage front desk operations effectively. You will be the first point of contact and play a crucial role in setting the tone for the visitor experience at our office.
Qualifications and Skills
- Proficient in using multiline phone systems to handle incoming calls swiftly and maintain seamless communication.
- Demonstrated expertise in customer service, showcasing poise and professionalism in all interactions.
- Experience in appointment scheduling with an ability to manage multiple calendars efficiently under tight timelines.
- Familiarity with Microsoft Office Suite required to perform daily administrative tasks such as drafting documents and emails.
- Strong data entry skills necessary to ensure accurate input and updating of information in company databases.
- Proficiency in email management, with the ability to prioritize and respond to correspondences effectively.
- Excellent communication skills, both verbal and written, enabling clear and effective interaction with employees and visitors.
- Experience with CRM software is a must to manage and maintain customer relationships and office records seamlessly.
Roles and Responsibilities
- Greet and welcome guests as they arrive at the office, ensuring a warm and friendly reception experience.
- Manage incoming and outgoing calls on the multiline phone system and route calls to appropriate staff members.
- Schedule and manage appointments, meetings, and conference room bookings with precision and attention to detail.
- Maintain a neat and organized front desk area to present a professional appearance and promote efficiency.
- Support the administrative needs of various departments by processing documents and updating records as required.
- Monitor office supplies inventory and prepare orders when necessary to ensure stock levels meet demands.
- Oversee visitor sign-in procedures and ensure adherence to security protocols at all times.
- Assist in coordinating office events and meetings, providing logistical support and managing communications.
