Job Summary:

The Mid-Level Secretary will provide comprehensive administrative and clerical support to the Managing Director (MD) of a dynamic IT company. This role requires someone who is organized, proactive, and skilled in managing a wide range of administrative tasks to ensure the smooth functioning of the MD’s office. The ideal candidate should have excellent communication skills, be tech-savvy, and maintain confidentiality while handling sensitive information.

Key Responsibilities:

  1. Administrative Support:
  • Manage and maintain the MD’s schedule, including meetings, appointments, and travel arrangements.
  • Organize and prepare documents for meetings, presentations, and reports.
  • Handle email correspondence and prioritize critical issues for the MD’s attention.
  • Take accurate meeting minutes and follow up on action items.
  1. Office Management:
  • Coordinate and manage office supplies, ensuring the MD’s office is well-equipped.
  • Organize and maintain files and records, ensuring efficient retrieval of information.
  • Handle phone calls and inquiries, directing them to the appropriate channels when necessary.
  1. Communication:
  • Serve as a liaison between the MD and internal teams, clients, vendors, and other stakeholders.
  • Draft and prepare emails, letters, and reports on behalf of the MD.
  • Ensure effective communication across departments as instructed by the MD.
  1. Travel & Event Coordination:
  • Arrange domestic and international travel plans, including flight bookings, accommodations, and transportation.
  • Assist in organizing corporate events, meetings, and conferences.
  1. Confidentiality & Discretion:
  • Maintain confidentiality regarding sensitive company matters and the MD's personal and business information.
  • Handle personal tasks for the MD when required, while maintaining a professional demeanor.
  1. Tech-Savviness:
  • Utilize MS Office Suite, calendar software, and other productivity tools efficiently.
  • Assist the MD with basic technical issues and ensure technology (laptop, phone, etc.) is functioning smoothly.

Key Skills and Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • 3-5 years of experience in a similar role, ideally in the IT industry.
  • Strong knowledge of office management systems and procedures.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Ability to handle multiple tasks and prioritize effectively.
  • Discretion, confidentiality, and integrity.
  • Attention to detail and problem-solving skills.
  • Strong organizational and time-management skills.
  • Ability to work independently and within a team.
  • Flexibility in handling additional tasks and responsibilities as required by the MD.

  • May require occasional after-hours availability to assist with urgent matters.
