Job Summary:The Mid-Level Secretary will provide comprehensive administrative and clerical support to the Managing Director (MD) of a dynamic IT company. This role requires someone who is organized, proactive, and skilled in managing a wide range of administrative tasks to ensure the smooth functioning of the MD’s office. The ideal candidate should have excellent communication skills, be tech-savvy, and maintain confidentiality while handling sensitive information.Key Responsibilities:<ol><li>Administrative Support:</li></ol><ul><li class="ql-indent-1">Manage and maintain the MD’s schedule, including meetings, appointments, and travel arrangements.</li><li class="ql-indent-1">Organize and prepare documents for meetings, presentations, and reports.</li><li class="ql-indent-1">Handle email correspondence and prioritize critical issues for the MD’s attention.</li><li class="ql-indent-1">Take accurate meeting minutes and follow up on action items.</li></ul><ol><li>Office Management:</li></ol><ul><li class="ql-indent-1">Coordinate and manage office supplies, ensuring the MD’s office is well-equipped.</li><li class="ql-indent-1">Organize and maintain files and records, ensuring efficient retrieval of information.</li><li class="ql-indent-1">Handle phone calls and inquiries, directing them to the appropriate channels when necessary.</li></ul><ol><li>Communication:</li></ol><ul><li class="ql-indent-1">Serve as a liaison between the MD and internal teams, clients, vendors, and other stakeholders.</li><li class="ql-indent-1">Draft and prepare emails, letters, and reports on behalf of the MD.</li><li class="ql-indent-1">Ensure effective communication across departments as instructed by the MD.</li></ul><ol><li>Travel &amp; Event Coordination:</li></ol><ul><li class="ql-indent-1">Arrange domestic and international travel plans, including flight bookings, accommodations, and transportation.</li><li class="ql-indent-1">Assist in organizing corporate events, meetings, and conferences.</li></ul><ol><li>Confidentiality &amp; Discretion:</li></ol><ul><li class="ql-indent-1">Maintain confidentiality regarding sensitive company matters and the MD's personal and business information.</li><li class="ql-indent-1">Handle personal tasks for the MD when required, while maintaining a professional demeanor.</li></ul><ol><li>Tech-Savviness:</li></ol><ul><li class="ql-indent-1">Utilize MS Office Suite, calendar software, and other productivity tools efficiently.</li><li class="ql-indent-1">Assist the MD with basic technical issues and ensure technology (laptop, phone, etc.) is functioning smoothly.</li></ul>Key Skills and Qualifications:<ul><li>Bachelor’s degree in Business Administration, Management, or a related field preferred.</li><li>3-5 years of experience in a similar role, ideally in the IT industry.</li><li>Strong knowledge of office management systems and procedures.</li><li>Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).</li><li>Excellent verbal and written communication skills.</li><li>Ability to handle multiple tasks and prioritize effectively.</li><li>Discretion, confidentiality, and integrity.</li><li>Attention to detail and problem-solving skills.</li><li>Strong organizational and time-management skills.</li><li>Ability to work independently and within a team.</li><li>Flexibility in handling additional tasks and responsibilities as required by the MD.</li></ul>Work Environment:<ul><li>Fast-paced IT company with a collaborative and innovative culture.</li><li>May require occasional after-hours availability to assist with urgent matters.</li></ul>Salary : Depending upon the capabilities and industry standardPlz mail ur resumes to jobs@lecpl.com
