Job Overview
We are looking for a mid-level Office Administrator to join our team in Surat. As a full-time role, the ideal candidate will play a vital role in ensuring the smooth operation of our clinic's administrative tasks. This position requires proficiency in day-to-day office management, excellent communication skills, and a capability to handle various administrative functionalities to support our goal of delivering outstanding skin and hair care services.
Qualifications and Skills
- Proficiency in Microsoft Office Suite including Word, Excel, and PowerPoint is a mandatory skill for daily administrative tasks.
- Experience with Customer Relationship Management (CRM) software to manage and enhance client interactions effectively is mandatory.
- Efficient data entry skills to maintain accurate patient records swiftly and reliably is mandatory.
- Knowledge of Google Workspace for collaborative tools and document sharing among the team.
- Ability to use QuickBooks for financial transactions, invoicing, and maintaining accounts.
- Familiarity with Slack as a communication tool to collaborate and communicate promptly with team members.
- Expertise in scheduling software to handle appointments and manage the calendar efficiently.
- Proficient with document management systems for organizing and storing important paperwork digitally.
Roles and Responsibilities
- Manage daily office operations ensuring the smooth running of tasks and administrative procedures.
- Serve as the point of contact for internal and external clients, providing support and addressing their queries effectively.
- Oversee and coordinate appointments and schedules, ensuring optimal clinic operation and resource allocation.
- Maintain accurate records of patient information and assist in the preparation of reports and documentation.
- Implement and monitor compliance with office policies and procedures to ensure organizational efficiency.
- Assist in financial activities such as billing, reconciliation, and financial report preparation when needed.
- Support office staff with the necessary equipment and resources to perform their duties efficiently.
- Enhance customer experiences by engaging effectively via CRM, ensuring satisfaction and retention.
