We are seeking a dedicated Junior Executive Assistant to join our team at Zeet HR Consultancy Services. This full-time position is based in Mumbai and requires proficiency in providing top-notch administrative support to our executives. The ideal candidate will be organized, efficient, and ready to contribute to our team's success by managing diverse tasks with ease.
Qualifications and Skills
- Demonstrated experience as an executive assistant (Mandatory skill).
- Proficiency in using Microsoft Office Suite for various administrative tasks, including document creation and data analysis.
- Strong organizational skills for effective travel coordination, ensuring all travel arrangements are seamless and cost-effective.
- Excellent email management capabilities to prioritize, respond, and facilitate communication effectively.
- Experience in expense reporting to maintain accurate and comprehensive financial records.
- Ability to utilize video conferencing platforms for meeting coordination and communication.
- Competence in document management systems for maintaining and organizing files and records.
- Accurate data entry skills to ensure the integrity and correctness of the information in our databases.
Roles and Responsibilities
- Providing administrative support to executives including managing schedules, appointments, and communications.
- Coordinating domestic and international travel arrangements, including booking flights, accommodations, and itineraries.
- Managing and prioritizing emails, responding on behalf of executives when required, and ensuring timely information flow.
- Preparing expense reports and maintaining a detailed record of expenditures for approval and reimbursement.
- Organizing and coordinating meetings using video conferencing platforms, ensuring smooth execution and follow-ups.
- Handling confidential documents and maintaining a secure document management system for easy retrieval.
- Accurately entering and managing data in various company databases and systems to support administrative operations.
- Providing excellent support in various capacities as needed to ensure the executive's operations run efficiently.
