Position Overview:
The Admin cum Vendor Management role is a multifaceted position that combines administrative responsibilities with vendor management duties. This role primarily focuses on ensuring smooth operations, maintaining effective relationships with vendors, and optimizing procurement processes within an organization. The individual in this role will be responsible for handling administrative tasks, coordinating vendor activities, and streamlining vendor selection and evaluation processes.
Key Responsibilities:
- Administrative Duties:
- Manage day-to-day administrative tasks such as scheduling meetings, coordinating appointments, maintaining office supplies, and handling correspondence.
- Organize and maintain files, records, and documents, ensuring they are up-to-date and easily accessible.
- Assist in preparing reports, presentations, and other relevant materials as required.
- Support other administrative functions as needed to facilitate the smooth running of the office.
- Vendor Selection and Evaluation:
- Collaborate with stakeholders to identify vendor needs and specifications for various goods and services.
- Conduct market research and identify potential vendors that meet the organization's requirements.
- Develop and implement a vendor evaluation process to assess the quality, reliability, and performance of vendors.
- Negotiate and finalize contracts and service agreements with vendors, ensuring compliance with legal and organizational requirements.
- Vendor Relationship Management:
- Establish and maintain strong relationships with vendors, acting as the primary point of contact for day-to-day vendor-related activities.
- Monitor vendor performance and address any issues or concerns that arise, ensuring vendors meet agreed-upon service levels and contractual obligations.
- Conduct regular vendor performance reviews and provide feedback to vendors for continuous improvement.
- Foster positive vendor relationships through effective communication and timely resolution of conflicts or disputes.
- Procurement and Cost Optimization:
- Collaborate with relevant departments to identify procurement needs and create procurement plans.
- Coordinate the procurement process, including issuing requests for proposals (RFPs), evaluating bids, and selecting vendors.
- Analyze vendor pricing, terms, and conditions to ensure cost-effectiveness and value for money.
- Continuously explore opportunities to optimize procurement processes and drive cost savings without compromising quality or service delivery.
Qualifications and Skills:
- Bachelor's degree.
- Male Candidates are preferred.
- Proven experience in administrative roles, vendor management, procurement, or related areas.
- Strong organizational and multitasking abilities, with exceptional attention to detail.
- Excellent communication and interpersonal skills to effectively collaborate with internal stakeholders and vendors.
- Proficient in using relevant software applications, such as MS Office suite and procurement management tools.
- Strong negotiation and contract management skills.
- Knowledge of vendor management best practices, procurement processes, and industry trends.
- Ability to analyze data and make informed decisions to optimize vendor relationships and procurement activities.
