Skills
Work Experience:
Should have 3-5 years of experience as an assistant or secretary to the MD of a company.
• At times an office coordinator is also good, but who has steady experience in admin, coordinating .
Education:
Should have graduated from a secretarial college or PG.
Skill set required:
• Must be trustworthy [should not share the confidential/important things].
• EXCELLENT FOLLOW UP SKILLS Most important requirement. All other skills we can train her into. In
case of External training, the cost will be bifurcated as given below:
• 50% of training Cost will be paid by Company
• 50% will bear by the employee which will be refundable after 1 year
• Follow up skills she should have.
• Should have working knowledge of MS OFFICE especially EXCEL & Word. Also, good in working on
Google Drive & have the knowledge of preparing Google forms & G-Suit.
• Good command over English [Verbal & Written].
• Shorthand.
• Ready to take additional responsibility.
• Can commute to other offices as well.
• Can Report to MD on daily basis as per his time schedule through mail/tele-call/skype/text message or
other mode of video call.
Job Roll:
Manage & maintain the MD's diary and email account without failure.
• Filter emails, highlight urgent correspondence and print attachments.
• Arrange Executive Meetings [EM] of employees.
• Manage and monitor the Process Co-coordinators of respective departments and report to MD.
• Respond to emails as much as fast/possible, AS PER BRIEFING by MD sir.
• Collect & prepare all the deliverables before any meeting [like
files/samples/kit/documents/old
MOM etc.].
• File up all correspondence in related file.
• Must maintain all visiting cards-prepare mails/replies as per briefing.
• Prepare a list of TO DO and track on Google Keep & Google cale ndar .
• Conduct weekly diary meetings with the MD to discuss upcoming
engagements, invitations and other requests.
• Manage travel arrangements, whenever required.
• Filter general information, queries, phone calls and invitations to the MD by
redirecting or taking forward such contact as appropriate.
• Ensure guests meeting with the MD are well taken care of.
• Monitor the MIS reports and report to MD etc.
Salary: Anywhere between Rs. 25,000/- to 35,000/-
Others: Married, preferably with kids.
• Staying max. 45 mints travelling time from your office.
• There should be job stability, not someone who has been jumping jobs often.
• Should be honest.
• Should be open to doing personal tasks of boss.
