Must Have skills-
· MBA with 7-10 yrs. exp
· A deep understanding of export import regulations, customs procedures, and trade agreements
· Working knowledge in SAP, Excel, Word, MIS
· Team handling experience
· Experience handling Pre/post shipment documentation, vendor payments
The capability to identify and resolve issues efficiently, whether they involve logistical challenges, regulatory compliance, or customer inquiries.
Financial Outcomes
· Ocean freight negotiation (Sea, Air & LCL) with Shipping lines & Freight forwarders
· Maximizing revenue by ensuring timely order processing and dispatch activities
· Minimizing financial risks by conducting thorough credit and payment checks, optimizing logistics operations to reduce transportation costs, and facilitating smooth post-shipment processes to expedite payment collection and minimize delays.
Customer Service
· Ensuring customer satisfaction throughout the order processing and shipment lifecycle.
· Promptly obtaining order confirmations, providing accurate and timely updates to customers regarding their orders, addressing any inquiries or concerns promptly and professionally.
· Ensuring that all necessary documentation is error free, in full & on time.
· Provide post-shipment support to customers, including tracking shipments, resolving delivery issues, and facilitating the handling of any returns or exchanges.Facilitate customer approval of sample products before shipment.
· Transit time adherence.
Internal Processes
· Ensure compliance with all relevant regulatory requirements and industry standards governing export-import operations, including customs regulations and trade agreements.
· Stay updated on changes in regulations and implement necessary adjustments to internal processes and procedures accordingly.
· Implement efficient workflows and procedures for order processing, including obtaining order confirmations, checking payment modes and credit status, and releasing contracts in SAP.
· Coordinate with internal teams such as sales, production, quality assurance, and procurement to ensure seamless order processing and production planning.
· Maintain accurate and up-to-date documentation for all orders and shipments, including contracts, invoices, shipping instructions, and regulatory permits.
· Ensure compliance with regulatory requirements, including ECGC credit limits, customs regulations, and Tea & Coffee Board permit applications.
· Facilitate coordination between internal departments and external partners, such as factories, third-party inspection agencies, C&F agents, and shipping lines, to ensure timely dispatch and delivery of shipments.
· Generation of MIS reports pertaining to shipping
· Ensure the efficient management of post-shipment documentation processes, including collecting bill of lading and post-shipment inspection reports, applying for certificates of origin, and preparing necessary documents according to letter of credit (L/C) conditions, while coordinating with internal teams and external parties to ensure timely submission to buyers or banks in accordance with payment terms.
Innovation and Learning
· Identify opportunities for process improvements and efficiency gains within internal processes, such as digitizing documentation for backups, automating repetitive tasks, and implementing standard operating procedures (SOPs) with checklists to eliminate errors
