Job Overview
We are seeking a motivated and professional Front Desk Executive (Fresher) to join our team in Ahmedabad on a full-time basis. This role offers an excellent entry-level opportunity for individuals looking to begin their career in customer service and front desk management within the food production industry.
Qualifications and Skills
- Customer Service (Mandatory skill): Demonstrates exceptional interpersonal skills to create a welcoming atmosphere for visitors and address their needs promptly and professionally.
- Front Desk Operations (Mandatory skill): Capable of efficiently handling all routine responsibilities at the reception area, including answering phones and directing inquiries.
- Microsoft Excel (Mandatory skill): Able to manage basic data entry, maintain records, and generate reports using spreadsheets for front desk purposes.
- Microsoft Office: Proficient in various office software including Word and Outlook for accurate communication and documentation management.
- Visitor Management: Maintains visitor logs and ensures adherence to all security protocols while greeting and registering guests, clients, and vendors.
- Appointment Coordination: Efficiently schedules and manages appointments as well as meeting room bookings for staff and management activities.
- Clear Communication: Possesses excellent verbal and written communication skills for effective interaction within the organization and with external contacts.
- Problem-Solving Attitude: Demonstrates the ability to handle multiple inquiries with patience and to resolve day-to-day issues that may arise at the reception.
Roles and Responsibilities
- Welcome visitors and guests in a courteous manner and direct them to the appropriate department or personnel as needed.
- Efficiently manage incoming phone calls, respond to queries, and redirect calls as per company protocols.
- Maintain and update visitor logs, appointment schedules, and ensure security procedures are followed at all times.
- Coordinate and schedule meetings and appointments for staff and management, including room allocations and necessary arrangements.
- Handle basic administrative tasks such as mail distribution, courier management, and data entry in Microsoft Office and Excel.
- Assist with organizing internal and external company events and provide support with resource bookings when required.
- Ensure the reception and waiting area are clean, professional, and welcoming for all guests and clients at all times.
- Collaborate with internal teams to support daily operational requirements and provide exceptional front-line service to everyone entering the premises.
