Job Description: Export Documentation Specialist - Pharmaceutical Chemicals

Position Overview

We are seeking a detail-oriented Export Documentation Specialist to join our pharmaceutical chemicals export team. The successful candidate will be responsible for preparing precise pre-shipment and post-shipment documentation for pharmaceutical chemicals and packaging materials, while ensuring compliance with international trade regulations and customs requirements.

Key Responsibilities

  • Prepare and process comprehensive export documentation including commercial invoices, packing lists, certificates of origin, and other required paperwork
  • Verify and ensure accuracy of all shipping documents in compliance with country-specific requirements and international trade regulations
  • Coordinate with the logistics team to ensure timely preparation and submission of documents
  • Maintain up-to-date knowledge of export regulations and documentation requirements for pharmaceutical chemicals
  • Process customs documentation electronically through appropriate filing systems
  • Track shipment status and coordinate with freight forwarders and customs brokers
  • Prepare and maintain export reports and documentation records in Excel
  • Ensure proper classification of pharmaceutical products for customs purposes
  • Assist in resolving documentation discrepancies to prevent shipment delays
  • Maintain database of drug licenses, product lists, label copies, MSDS, and COA documents

Required Qualifications

  • Minimum 2-3 years of experience in export documentation, preferably in pharmaceutical or chemical industries
  • Proficient knowledge of customs filing procedures and international trade regulations
  • Strong understanding of pharmaceutical/chemical industry documentation including Drug licenses, Product lists, Label copies, Material Safety Data Sheets (MSDS), and Certificates of Analysis (COA)
  • Advanced Excel skills with ability to create, manage, and analyze complex spreadsheets
  • Detail-oriented with excellent organizational skills
  • Strong communication skills (written and verbal)
  • Ability to work under pressure and meet tight deadlines
  • Basic understanding of Incoterms and international shipping requirements

Preferred Qualifications

  • Bachelor's degree in Supply Chain Management, International Business, or related field
  • Experience with ERP systems and documentation software
  • Knowledge of additional languages relevant to major export markets
  • Certification in export compliance or customs brokerage
  • Familiarity with pharmaceutical Good Manufacturing Practices (GMP)

Working Conditions

  • Full-time position (40 hours per week)
  • Office environment with potential for hybrid work arrangements
  • May require occasional overtime to meet shipment deadlines
