Position Overview
The Corporate Services State Head will lead, manage, and optimise all workplace, facilities, and administrative operations across the state. The role demands strategic planning, strong operational governance, cost optimisation, and seamless service delivery to ensure a safe, efficient, compliant, and employee-friendly working environment. The incumbent will collaborate closely with cross-functional teams, external partners, and senior leadership to drive excellence and continuous improvement.
Key Responsibilities
1. Vendor & Contract Management
• Lead end-to-end vendor lifecycle including evaluation, onboarding, negotiation, performance monitoring, SLAs & KPIs.
• Drive cost efficiency, quality assurance, and compliance in all outsourced services.
• Ensure strong governance and adherence to contractual obligations.
2. Facility Operations & Maintenance
• Oversee day-to-day operations of all offices, warehouses, and administrative sites.
• Ensure preventive & corrective maintenance, uptime of critical assets, and optimal service levels.
• Drive workplace experience initiatives for employees and visitors.
3. Space Planning & Optimisation
• Plan and optimise seating layouts to support business growth and workplace efficiency.
• Oversee space utilisation studies, relocation projects, and new site setups.
• Ensure compliance with ergonomic, design, and functional standards.
4. Health, Safety & Environmental Compliance
• Implement and enforce HSE standards, risk mitigation, emergency preparedness, and audits.
• Ensure statutory compliance across fire, safety, and environmental norms.
• Drive employee safety engagement and awareness programs.
5. Transport & Mobility Management
• Manage employee transportation, route optimisation, vendor governance, safety compliance, and cost controls.
• Implement digital tools for tracking, scheduling, and safety monitoring.
6. Budgeting & Cost Optimisation
• Prepare, manage, and monitor annual budgets, forecasts, and cost-saving initiatives.
• Ensure OPEX optimisation through resource efficiency and strategic sourcing.
• Provide monthly dashboards and variance reports.
7. Data Analytics & MIS Management
• Maintain accurate MIS dashboards for facilities, expenses, vendor performance, space utilisation, and compliance.
• Use data-driven insights to support decision-making and operational improvements.
8. Digital & Automation Proficiency
• Champion digital tools, automated workflows, IoT-based monitoring, and smart-facility solutions.
• Drive tech-enabled improvements in operations, security, and employee services.
9. Continuous Improvement & Process Optimisation
• Implement SOPs, best practices, and process standardisation across sites.
• Initiate Kaizen, Lean, or Six Sigma methodologies to improve efficiency and reduce waste.
10. Sustainability & Environmental Stewardship
• Promote energy efficiency, waste management, water conservation, and green practices.
• Lead sustainability dashboards and ESG-aligned initiatives.
11. Stakeholder & Leadership Management
• Act as single point of contact for business heads, HR, finance, and compliance teams.
• Ensure timely support for business operations and senior management requirements.
12. Risk, Security & Compliance Oversight
• Coordinate with security teams for access control, surveillance, and incident management.
• Ensure compliance with corporate governance, statutory, and audit requirements.
