Job Overview

We are seeking a Junior Secretary for a full-time position at our Vadodara office. The Secretary will be responsible for supporting daily administrative operations and ensuring efficient coordination within the team. Candidates must have at least 1 year of experience in a similar role.


Qualifications and Skills

  • Proficient in calendar management, ensuring effective scheduling and avoidance of conflicts for executives (Mandatory skill)
  • Experienced in meeting coordination, including preparation of agendas, logistical arrangements, and follow-up on action items (Mandatory skill)
  • Strong record keeping abilities, maintaining accurate and accessible documentation for office activities (Mandatory skill)
  • Capable of preparing, formatting, and editing various business documents such as reports, memos, and presentations
  • Efficient in making travel arrangements including itineraries, bookings, and expense documentation for business travel
  • Skilled in data entry tasks ensuring high accuracy and confidentiality in handling sensitive information
  • Able to prioritize and multitask efficiently, managing ad hoc requests alongside regular administrative duties
  • Excellent communication and interpersonal skills to liaise with internal teams, clients, and vendors as required


Roles and Responsibilities

  • Manage executive calendars and schedule meetings, appointments, and events to optimize productivity
  • Coordinate and set up meetings, including preparing agendas, notifying participants, and arranging meeting logistics
  • Maintain accurate records and file relevant documents physically and electronically for easy retrieval
  • Prepare, review, and edit correspondence, reports, and presentations as directed by the supervisor
  • Arrange travel, accommodation, and transport for staff and visitors in alignment with company protocols
  • Handle data entry tasks, maintain databases, and generate reports as needed by the team
  • Prioritize and execute tasks in a high-paced environment, adjusting to shifting demands as required
  • Serve as a liaison between executives and other employees, ensuring timely communications and follow-ups
