Job Title: Administrative Executive

Location: Mumbai

Work Model: Primarily office-based with hybrid options (twice a month)

Who We Are & What We’re Looking For

We are seeking an experienced Administrative Executive with 4–5 years of proven expertise in managing office operations, vendor relationships, and travel arrangements. The candidate should be able to work independently and ensure seamless administrative support across the organization.


Key Responsibilities

·       Assist with travel and accommodation bookings for employees and maintain detailed MIS.

·       Coordinate with facility management teams for repairs and maintenance.

·       Oversee procurement and inventory of stationery, printing, and office supplies.

·       Prepare and maintain necessary reports, presentations, and records using advanced MS Office skills.

·       Negotiate and coordinate with vendors to ensure cost-effective and quality services.

·       Handle incoming/outgoing mail, courier services, and official correspondence.

·       Manage meeting room schedules and assist in setting up for meetings/events.

·       Maintain digital and physical filing systems for easy retrieval of documents.

·       Follow-ups on proposals, payments, invoice etc., with Clients & Vendors.

·       Provide regular updates to the management team on the status of proposals, payments, and invoices.

·       Assist in audits by providing required documentation and records.

·       Act as the first point of contact for staff queries related to office facilities.

·       Organize employee engagement activities (festivals, team events, celebrations).


Skills & Qualifications

Required Skills & Education.

 

·       Bachelor’s degree in any discipline.

·       4 to 6 years of experience in administration or office support.

·       Proficiency in MS Office Suite (Excel formulas, PowerPoint presentations, Word formatting, Outlook).

·       Strong organizational skills and attention to detail.

·       Good written and verbal communication skills.

·       Ability to multi-task and work independently.
