Job Overview
We are looking for a friendly and organized Receptionist to join our team at our Mumbai clinic. This is a full-time, junior-level position for a candidate with 1 to 3 years of relevant experience. The ideal individual will be the first point of contact for our clients, managing the front desk with a welcoming demeanor, providing exceptional customer service, and ensuring the seamless coordination of appointments.
Qualifications and Skills
- Exceptional customer service skills with a compassionate and professional approach to interacting with clients and visitors. (Mandatory skill)
- Excellent telephone etiquette for handling inquiries and directing calls with clarity and patience. (Mandatory skill)
- Proficiency in appointment coordination to manage patient schedules and consultations effectively. (Mandatory skill)
- Demonstrated ability in accurate and efficient data entry, particularly for maintaining client records.
- Experience in front desk operations, creating an organized and welcoming clinic environment.
- Strong scheduling abilities to support the daily administrative functions of the clinic.
- Effective calendar management skills to coordinate appointments and meetings for our audiologists and staff.
- Expertise in visitor management to ensure a comfortable and positive experience for all clients and their families.
Roles and Responsibilities
- Manage the reception area, warmly greeting all clients and visitors and ensuring they have a positive and comfortable experience from the moment they arrive.
- Answer all incoming phone calls, address inquiries about our products and services, and route calls to the appropriate staff members.
- Coordinate and schedule client appointments and follow-up visits, meticulously maintaining the appointment calendar.
- Perform essential data entry tasks, ensuring the accuracy and confidentiality of all client information and records.
- Oversee all front desk operations to maintain a professional, clean, and welcoming environment for everyone.
- Assist in managing the daily schedules for our clinical staff, optimizing appointment flow and meeting arrangements.
- Support visitor management by ensuring all individuals are attended to promptly and their needs are met efficiently.
- Contribute to the overall smooth functioning of the clinic by assisting with daily administrative tasks.
