Job Overview
We are seeking a Junior Personal Assistant to support our Director in managing daily administrative tasks efficiently. This full-time, remote position is open to candidates based in Hyderabad or Bangalore. The ideal candidate will have between 1 to 3 years of relevant experience in a similar role. You will play a critical role in organizing schedules, coordinating travel, and handling confidential tasks.
Qualifications and Skills
- Proficient in Microsoft Office Suite to assist in handling document preparation, presentations, and reports.
- Experience with Google Workspace including Google Calendar to efficiently manage meetings and appointments.
- Strong calendar management skills ensuring an organized schedule of meetings and timely updates.
- Ability to coordinate travel logistics efficiently including booking flights, accommodation, and transportation.
- Experience in expense reporting to assist with budget tracking and financial record keeping.
- Excellent communication skills for effective interpersonal interaction and email correspondence.
- Strong time management skills ensuring tasks are completed accurately and on schedule.
- Maintain strict confidentiality concerning sensitive information and delicate tasks.
Roles and Responsibilities
- Provide comprehensive administrative support to the Director, ensuring all needs are met promptly and efficiently.
- Manage and coordinate the Director's schedule, balancing meetings with necessary travel time and appointments.
- Arrange and coordinate logistics for meetings, including preparation and distribution of meeting materials.
- Handle travel arrangements such as booking flights, hotels, and transportation for business trips.
- Assist in preparing expense reports and tracking financial documentation for budget oversight.
- Conduct research and compile data as needed for meetings or presentations, ensuring accuracy and detail.
- Act as a point of contact between the Director and internal/external stakeholders, maintaining professional correspondence.
- Address inquiries and provide information to clients and team members efficiently and professionally.
