Job Overview
We are seeking a motivated and detail-oriented Office Assistant for our office in Hyderabad. This is a full-time, junior-level position requiring between 1 to 3 years of relevant work experience. The selected candidate will be responsible for supporting office operations and ensuring a smooth workflow in various admin tasks.
Qualifications and Skills
- Proficiency in Microsoft Office Suite including Word, Excel, and PowerPoint for document preparation and management.
- Familiarity with Google Workspace to manage email, calendars, and online collaboration tools efficiently.
- Experience in data entry tasks ensuring accuracy and attention to detail in all records and databases.
- Ability to manage calendars, schedule appointments, and coordinate meetings effectively.
- Basic knowledge in using accounting software for handling office expense tracking.
- Skilled in handling document preparation and file management systems to maintain organizational efficiency.
- Experience in operating multiline phone systems to manage incoming and outgoing communications professionally.
- Strong customer service skills (Mandatory skill) to address and resolve client inquiries and issues promptly.
Roles and Responsibilities
- Assist in daily office tasks including mail distribution, filing, and file maintenance.
- Support management in scheduling meetings, appointments, and conference calls.
- Maintain office supplies inventory by checking stock levels and placing orders as needed.
- Ensure all office equipment is functioning properly and coordinate repair services when needed.
- Perform data entry and maintain the accuracy of databases for reporting and record-keeping purposes.
- Welcome visitors and provide exemplary customer service at the front desk or reception area.
- Assist with preparing reports, presentations, and spreadsheets for meetings and projects.
- Coordinate with different departments to ensure smooth internal communications and workflow.
- Supply tea and coffee as needed to staff and visitors, ensuring a welcoming environment for clients and guests.
