Job Overview
We are seeking a Junior Front Office Receptionist to join our team in Hyderabad on a full-time basis. The ideal candidate will possess a strong foundation in front desk operations, with a minimum of 1 year and a maximum of 3 years of relevant work experience. This position is a vital role within our organization, offering the opportunity to interact with clients and support daily office operations.
Qualifications and Skills
- Proven customer service experience with a friendly and approachable demeanor. (Mandatory skill)
- Proficiency in Microsoft Office Suite to manage correspondence and documentation effectively. (Mandatory skill)
- Experience in front desk operations including managing inquiries and directing visitors. (Mandatory skill)
- Ability to operate multiline phone systems efficiently to handle high-volume calls and messages.
- Familiarity with appointment scheduling software to streamline client bookings and meetings.
- Competency in data entry to maintain accurate records of client interactions and schedules.
- Knowledge of electronic health records (EHR) to manage confidential client information securely.
- Strong conflict resolution skills to handle client concerns and escalate issues appropriately.
Roles and Responsibilities
- Greet and assist clients and visitors, providing a warm and welcoming atmosphere at the front desk.
- Manage a multiline phone system, answering and forwarding calls accurately and efficiently.
- Coordinate and schedule appointments using appropriate software, ensuring smooth client flow.
- Maintain the reception area, ensuring it is tidy and presents a professional image.
- Handle data entry tasks, updating and maintaining electronic records and client details.
- Facilitate communication between clients and staff, providing accurate information as needed.
- Assist in resolving conflicts and client complaints with effective communication and escalating when required.
- Perform miscellaneous clerical duties as required, supporting the smooth operation of the office.
