Job Summary:

The Store and Dispatch Coordinator will be responsible for managing store inventory, processing sales orders, coordinating dispatch activities, and handling local procurement. This role is crucial in ensuring efficient order processing, accurate inventory management, timely dispatch of products, and maintaining stock levels for smooth operations.

Key Responsibilities:

1. Sales Order Processing

  • Accurately enter and process sales orders in the system.
  • Ensure sales orders are punched in a timely manner to meet dispatch deadlines.
  • Collaborate with the sales team to verify order details and resolve discrepancies.
  • Maintain records of sales orders and track their status throughout the fulfillment process.

2. Inventory and Store Management

  • Monitor and manage inventory levels to ensure stock availability for order fulfillment.
  • Conduct regular stock audits and update inventory records for accuracy.
  • Oversee the organization of the store to ensure efficient stock arrangement and accessibility.
  • Implement stock control measures to minimize losses and prevent stockouts.

3. Dispatch Coordination

  • Prepare and coordinate dispatch activities to ensure timely and accurate shipments.
  • Generate dispatch documentation, such as packing lists, invoices, and shipping labels.
  • Liaise with logistics partners to schedule and manage dispatches.
  • Track shipments and provide updates to relevant departments to maintain transparency.

4. Local Procurement

  • Identify and evaluate local suppliers for required materials and consumables.
  • Manage the procurement of locally sourced items to maintain adequate stock levels.
  • Negotiate with suppliers to obtain competitive pricing and favorable terms.
  • Ensure all locally procured items meet the quality standards of the company.

5. Compliance and Documentation

  • Ensure compliance with internal and regulatory standards in all dispatch and procurement activities.
  • Maintain accurate records of stock movements, dispatches, and procurement transactions.
  • Support audit requirements by providing required documentation and ensuring traceability.

6. Continuous Improvement

  • Proactively suggest and implement process improvements in order processing, inventory management, and procurement.
  • Stay updated with best practices in store management, dispatch, and procurement.
  • Participate in relevant training sessions to enhance skills and knowledge.

Key Performance Indicators (KPIs):

  • Order Processing Accuracy: Percentage of orders accurately punched and processed.
  • Dispatch Timeliness: Percentage of dispatches completed on time.
  • Inventory Accuracy: Regular stock audits showing accurate inventory records.
  • Stockout Prevention: Number of stockouts prevented through proactive inventory management.
  • Local Procurement Efficiency: Timeliness and cost-effectiveness of local procurement activities.
  • Compliance: Adherence to internal policies and regulatory standards.

Qualifications:

  • Bachelor’s degree in Business Administration, Supply Chain Management, or a related field (preferred).
  • 2+ years of experience in inventory management, order processing, dispatch, or procurement.
  • Proficiency in inventory management systems or ERP software.
  • Strong organizational skills with an eye for detail.
  • Excellent communication and negotiation skills for vendor management.
  • Ability to work efficiently under tight deadlines and manage multiple tasks.
