Job Summary:

The Sales and Operations Support Specialist will be responsible for supporting the sales team, managing customer relationships, coordinating order processing, ensuring inventory accuracy, and maintaining compliance in documentation. This role will also be pivotal in providing timely and accurate information to support business operations and drive continuous improvement within the organization.

Key Responsibilities:

1. Sales Support

  • Prepare and deliver accurate sales quotes in a timely manner.
  • Maintain high accuracy in quotes and pricing information.
  • Provide fast and efficient responses to requests from the sales team.
  • Assist in successful product demonstrations to clients as needed.

2. Customer Relationship Management

  • Manage lead entries and updates in Zoho Books on a weekly basis.
  • Prepare and update customer reports in Zoho Books regularly.
  • Monitor and improve customer satisfaction scores through active engagement.
  • Respond promptly to customer inquiries to enhance customer experience.

3. Order Processing and Coordination

  • Process orders efficiently from receipt to shipment, ensuring minimal delays.
  • Maintain a high accuracy rate for all orders processed.
  • Meet weekly targets for the number of orders processed.
  • Ensure on-time deliveries to maintain customer satisfaction and trust.

4. Product Knowledge

  • Participate in and score well on quarterly product knowledge assessments.
  • Complete new product training programs and stay updated on product lines.
  • Assist sales managers in matching products to customer needs effectively.

5. Administrative Efficiency

  • Ensure timely submission of reports and maintain high standards of documentation accuracy.
  • Complete assigned administrative tasks punctually each week.
  • Support interdepartmental activities to improve operational efficiency.

6. Inventory Management Support

  • Maintain accuracy in inventory reporting and assist in stock management.
  • Provide timely alerts to management regarding stock levels.
  • Proactively prevent stockouts through efficient reporting and forecasting.

7. Marketing and Sales Collateral

  • Prepare and update sales materials on a monthly basis.
  • Ensure high-quality materials by coordinating with the sales team for feedback.
  • Distribute information on new products to relevant stakeholders in a timely manner.

8. Compliance and Documentation

  • Ensure compliance with internal audit requirements and regulatory standards.
  • Regularly update and maintain accuracy in regulatory documentation.
  • Maintain high accuracy in all company records and files.

9. Continuous Improvement

  • Contribute to process improvement by identifying areas of inefficiency and suggesting enhancements.
  • Implement approved suggestions and track improvement metrics.
  • Complete relevant industry certifications and trainings to stay current with industry standards.

Key Performance Indicators (KPIs):

  • Number and accuracy of sales quotes prepared weekly.
  • Average response times for sales support and customer inquiries.
  • Customer satisfaction scores and on-time delivery rate.
  • Accuracy in inventory reports and prevention of stockouts.
  • Compliance score in audits and documentation accuracy.
  • Contribution to process improvement and completion of certifications.

Qualifications:

  • Bachelor’s degree in Business Administration, Operations Management, or a related field.
  • 2+ years of experience in sales support, order processing, or customer relationship management.
  • Proficiency in CRM software, preferably Zoho Books.
  • Strong organizational skills with attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to work collaboratively in a team and multitask effectively.
