Roles & Responsibilities
Purpose of the Role: Responsible for all Human Resource activities run in the organization.
Stake Holders– Management Members, Respective School Head, Wing In charges and Teachers, Corporate and Office Staff
Key Responsibilities
1) Recruitments:
• To collect Man-power requisitions for open positions from respective branch Principal / department heads
and seek Manager’s approval for sourcing.
• Sourcing candidates through - Portal, References, Empaneled Consultants, database and if required co-ordinate to post an advertisement post seeking Manager’s approval
• Conduct initial screening through telephonic interaction
• Scheduling the suitable candidates for face to face interactions with department heads or Subject matter experts.
• Co-ordinating for written screening tests (subject tests as well as psychometric tests) of candidates who appear for interview
• Checking the psychometric tests & co-ordination for getting the subject test checked
• Scheduling final round of interviews for the shortlisted candidates and interview co-ordination.
• Conduct two reference checks for the shortlisted candidates
• Offer Negotiation & communicating the selection details to the selected candidates along-with their joining dates and share Selection e-mail with them.
• Updating Offered Candidates Data Base
• Updating weekly recruitment tracker
2) Onboarding:
• Co-ordination & Set up for Orientation and Induction of the new joiners
• Preparation & Circulation of Joining Intimation email to the related department heads, respective school branch and all concerned staff
• Preparation of new joinee roles & responsibility document/ KRA sheet
• Creation of Employee Id, Co-ordination for mail Id Creation & ERP entry of new joinee
• Updating the Employee Master Database and new joinee database by adding the details of New Joiners
• Complete documentation of the New joiners as per the checklist and give documents to school office to prepare employee records file
• Managing the correspondence letters of employee’s in HR records file
3) Policies:
• Support in implementation of HR Policies and Protocols
• Maintaining & Updating HR record files
4) Query Management:
• ERP queries handling and resolving for Corporate Staff and schools related to time and attendance
• Employee query handling in regard to leaves
• Handling queries regarding issuance of employee letters
• Handling queries related to HR Policies and Processes
5) Employee Engagement:
• Celebrating Togetherness- support in organizing Teacher’s Day Celebrations Program
Employee & Support Staff Review:
• Support & process the Half yearly & annual reviews of Employees & Support Staff
• Maintain employee list along with contract expiry date and sharing the same with resp. school heads
• Follow up for the reviews and other correspondence papers
• Preparing cover notes & summaries of the reviews
6) Employee Exits:
• Resignations to be collected with covering notes and remarks by respective department heads and Principal
• No dues / clearance papers to be submitted to Accounts for processing F&F
• Email-id, bio-metric code and ERP entry to be deactivated for the left employee
• Preparing Relieving Letter for the left employee
• Preparing Experience Letter for the left employee on request
• Support in organizing Farewells for exiting Corporate Employee
7) Monthly Salary Input:
• New joiner details - joining dates, salaries offered, salary break-ups etc, compiled & supported with respective documents forwarded to Accounts
• Details for salary increments, resignations, list of F&F, contract renewals, deductions etc. compiled and supported with respective documents forwarded to Accounts
• Employee's attendance details for the corporate staff compilation, verification and forwarding to Accounts dept.
8) Time & Attendance Management:
• Compilation of attendance for corporate on daily basis and sharing on month end with Accounts
• Timely entry of OD & Mis-punches in ERP, based on approved forms received
9) Letter Preparation:
• Selection Letters
• Appointment Letters
• Confirmation Letters
• Contract Renewal/ Extension Letters
• Increment / Promotion Letters
• NOC Letters- for Further studies, Visa Application Etc.
• Performance feedback letters
• Recovery Letters
• Warning & Show cause Notices
• Experience Letters
• Relieving Letters
• Termination Letters
10) Compliances: -
• Ensuring to follow all the compliances as prescribed by the Govt. authorities after the approval from the Management.
• Ensuring to make changes in the policies if there is any change in the compliances after the approval from the Management.
11) MIS Reports and Databases:
• Interview Scheduled Tracker to be updated on interview basis
• Recruitment Tracker - to be updated on Weekly basis
• HR Tracker – to be updated on weekly basis
• Attrition tracker to be updated on monthly basis
• New Joinee Tracker to be updated on every New Joiner
• Employee Master Database to be updated on each new joining and employee relieving
Apart from the above-mentioned duty list, you shall be responsible for any other duty been assigned to you by the Reporting Manager/ Management from time to time
Reporting: Administratively and functionally to the Head HR
This job description is not exhaustive and is subject to be modified / customized / changed according to your roles and responsibilities from time to time.
Experience with school in HR department is preferred.
Minimum 8 years of experience.
Female candidates are required ONLY.
Should be able to travel on your own.
Qualification: MBA ( HR )
Timings: Mon- Sat ( 9 am TO 6 pm ) , 2 Saturdays off
