Key Responsibilities of Purchase:

1.      Material Procurement:

• Procure API, excipients, packaging materials, and engineering spares based on production requirement.
• Ensure timely placement of Purchase Orders (POs) to avoid stockouts or delay in production.
• Monitor inventory levels using pharma suites system.

2.      Vendor Management:

• Identify, evaluate and qualify new vendors as per GMP and QA guidelines.
• Negotiate prices, delivery terms and credit terms with Vendors
• Maintain a vendor database and performance review system.

3.      Coordination with departments:

• Collaborate with production, QA/QC, warehouse and finance teams to align procurement with operational needs.
• Ensure material deliveries meet required specifications and timelines.
• Coordinate with the warehouse for material inward and inspection.

4.      Regulatory and Compliance:

• ·Ensure procurement from approved GMP-compliant vendors
• Maintain documentation for audits (vendor approval files, COAs, MSDS, regulatory certificates like DMF etc.
• Assist during regulatory inspections by providing required procurement data.

5.      Cost control and Budgeting:

• Compare quotations and prepare cost comparisons for management approval.
• Monitor procurement budget and seek cost-saving opportunities
• Implement strategic sourcing and bulk buying strategies.

6.      System and Documentation:

• Maintain accurate records of PRs, Pos, invoices, delivery notes, GRNs.
• Work on pharma suites for procurement processes.
• Ensure compliance with internal SOPs and purchase policies.
