We are seeking a versatile and detail-oriented professional to serve as a Product Development and Administrative Executive. This hybrid role combines responsibilities in overseeing the sales process for high-end jewellery orders and providing comprehensive executive support to the CEO. The ideal candidate will ensure smooth operations across sales, production, and executive functions while maintaining clear communication with clients and internal teams.

Key Responsibilities

Sales Coordination & Process Management

  • Maintain accurate records of stones, diamonds, and sales orders.
  • Oversee the sales order lifecycle, ensuring smooth coordination from placement to delivery.
  • Liaise with Sales, Design, and Production teams to manage and fulfill client orders.
  • Monitor and optimize sales systems for efficiency and accuracy.
  • Provide regular updates on order statuses to the CEO, Sales team, and clients.
  • Ensure compliance with established sales processes and timelines.

Executive Support

  • Manage the CEO’s calendar, schedule meetings, and handle confidential documents.
  • Plan and manage the CEO’s travel arrangements, including flights, accommodations, and visas.
  • Conduct research, manage data, and prepare reports or presentations as required.
  • Act as a communication bridge between the CEO and internal teams, ensuring smooth workflow and information exchange.

Team & Process Coordination

  • Monitor and resolve workflow bottlenecks across departments to maintain operational efficiency.
  • Collaborate with CAD, production, and sales teams to align on client specifications and quality standards.
  • Track and ensure timely delivery of orders while maintaining high-quality service standards.

Skills and Qualifications

  • Strong organizational and multitasking skills.
  • Proficiency in managing sales data and system workflows.
  • Excellent communication and coordination abilities.
  • Experience in providing executive-level support and handling confidential information.
  • Familiarity with high-end jewellery production and sales processes is an advantage.
