Job Overview

We are seeking a highly organized and proactive Personal Assistant (PA) to provide comprehensive support to Sattish Agadi, Managing Director of IITPL. The ideal candidate will be responsible for internal team coordination, organizational support, personal assistance, and communication management to ensure the smooth functioning of daily operations.


Key Responsibilities

  1. Internal Team Coordination
  • Seamless coordination with internal team members.
  • Timely communication of messages, updates, and reminders.
  • Scheduling and managing meetings, appointments, and conferences.
  • Ensuring accuracy and consistency in calendar management.
  1. Organizational Support
  • Event Planning: Coordinating events, meetings, and conferences.
  • Project Management: Assisting with project planning, execution, and monitoring.
  • Research: Conducting research and providing data-driven insights.
  • Travel Arrangements: Booking flights, accommodations, and managing travel itineraries.
  1. Personal Support
  • Personal Health Care
  • Coordinating doctor visits and health checkups.
  • Managing personal healthcare, including medication reminders.
  • Monitoring vital signs such as blood pressure levels.
  • Ensuring timely food intake and meal planning.
  • Meal Planning
  • Assisting with meal coordination and dietary planning.
  • Managing special dietary needs and preferences.
  • Personal Shopping
  • Assisting with personal shopping, including gift purchases.
  • Running errands, such as grocery shopping and purchasing household essentials.
  1. Communication Management
  • Communication: Acting as a liaison between the MD and internal/external stakeholders.
  • Relationship Building: Maintaining relationships with team members, clients, colleagues, and vendors.
  • Crisis Management: Handling sensitive or confidential matters with discretion.
  • Reputation Management: Protecting and enhancing the MD’s professional image.
  1. Other Responsibilities
  • Maintaining a high level of confidentiality and discretion.
  • Being adaptable and flexible in a fast-paced work environment.
  • Problem-solving: Identifying and resolving challenges effectively.
  • Continuous Learning: Staying up-to-date with industry trends and best practices.


Requirements

  • Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with integrity.
  • High level of adaptability, professionalism, and problem-solving skills.
  • Ability to work independently and manage multiple priorities effectively.
  • Prior experience in event planning, travel arrangements, and project management is an added advantage.
