JOB DESCRIPTION – MARCOMM & EVENTS MANAGER
The Marcomm & Events Manager is an important role and entails the following aspects:
1. Coordinate with and assist marketing agency for conceptualizing, creating and timely posting on social media and whatsapp groups
2. Assist in devising an effective marketing plan/strategy for every event including pre and post marketing
3. To ensure benefits of events are clearly highlighted in an exciting manner to members (to be involved in event planning also)
4. To coordinate and assist respective Chairs in event management itself – speaker, coordinating for venue, assist in negotiation etc
5. Co-ordinate for designing, printing Newsletter & its circulation
6. Sending out necessary communication emails to chapter reg. events, EO related benefits, etc
7. Channels of Communication to be regularly updated
8. To ensure that Chapter has an active and engaged social media presence
9. Overall PR focus for Chapter
Key Requirements
1. Must be Creative & have ability to think out of the box
2. Conversant with usage of social media and relevant new trends
3. Good command of English writing and expressions, flair for writing and editing
4. Coordinate with multiple stakeholders
(Co-ordinate and follow up as per MC instruction)
1. Acknowledge email receipt of membership alerts to prospects.
2. Call and get their data and profile to check eligibility for membership criteria
3. Call/email and co-ordinate to schedule interviews
4. Keep the global network posted on board selects/rejects of prospects
5. Assist board with required docs on their selection process
6. Collection of local and global fee.
7. Update their membership details in all channels of communication
ADMIN & FINANCE
8. Global Fee and Chapter Fee renewals
9. Sending Individual Invoices to all members by email and follow up on payment if required
(Co-ordinate and follow As per FC instruction
10. Chapter dues collection and Review auditor reconciliation
11. Payment Receipt generation if required
12. Vendor Pay outs follow up once payment done
1. Follow up on service tax filing, TDS deductions, society annual returns and others based on reqt.
2. Zoho report/neft accounts on monthly basis.
3. Assisting board on financial report
4. Document and System Maintenance. Staff attendance
(Co-ordinate and follow As per FC instruction)
Co-ordinate for:
1. New members to undergo online FTP
2. FTP & MTP
3. Maintain updated Moderators and Forum List –Local and Global
4. Moderator Summit and other programs
5. Assist FC to schedule and fix trainer and co-ordinate with participants till end.
STRATEGIC ALLIANCE
1. Work with the strategic committee team for member benefits.
2. Check and verify partners info on hub and get update every on their renewal
3. Support members to avail the benefits or guide them if they have any clarification
LEARNING
1.Block your Calendar email, Update events info in all channels of Communication and gentle reminders
2. Creatives designing Co-ordinate between board and vendor
3. RSVP update
4. Co-ordinate with day chair for the event
4. Co –ordinate with speaker for logistics, topic and other support as required
5.Hall block, Seating and Hotel Co-ordination
6.Compliments, Menu, AV setup, Book Video and Photo, Checklist to hotel before the event
7. Standees co-ordination with vendor
8.Recording Attendance and Feedback
9. Co-ordinate vendor deliverables
COMMUNICATION
(Co-ordinate and follow as per CC instruction)
10. Co-ordinate for designing, printing Newsletter & its circulation
11. Sending out necessary communication emails to chapter reg. events, benefits, etc
12. Channels of Communication to be updated
13. Active social media (Events to be posted on open network like You tube, Instagram and twitter)
14. PR
MyEO (Co-ordinate and follow as per MyEO Chair instruction)
1. Venue block, Co-ordinate with event champion for event arrangements.
2. Checklist submission to Venue
3. Photo and video, standees requirement and other tasks pertaining to MyEO events
4. Gmail Calendar update if required
5. Help champion to upload event on EO hub
6. RSVP status update to MyEO Chair
7. Post event – attendance + feedback form
MEMBERS
1. Periodic Member communications, Support
2. Birthday Reminders
3. Courier and Logistics like hamper delivery and other grunt works as required.
BOARD
1. Arrange board meetings
2. Minutes, Agenda, Report generation
3. Tracking Action Plan
4. Support/Assist board when required
5. Report generation for board meeting
6. AGM (arrangements)
7. Peak Award Checklist
8. Strategy Summit
9. Assist board in the staff recruitment
10. Training and Guiding Vendor, Consultant and Co-staff
11. Chapter Retreat: Assist Retreat team and back-end event planning, finance
12. Liaison Ing with Region/EO Global and other chapter staffs
13. Board Handover process
14. Retreat registration and communication
15. Support Board as and when required
