Job Overview
We are seeking a dedicated Executive Assistant Administration to join our team at Genus Electrotech Limited. This full-time, mid-level position is based in our Gandhidham, Anjar location. The ideal candidate should possess up to 6 years of relevant work experience and demonstrate exceptional administrative and organizational skills to support our management team effectively.
Qualifications and Skills
- Proficiency in calendar management, ensuring efficient scheduling and update of important meetings and deadlines (Mandatory skill).
- High competency in Microsoft Office Suite, including Word, Excel, and PowerPoint for effective documentation and presentations (Mandatory skill).
- Strong document management skills for organizing, storing, and retrieving digital and physical documents (Mandatory skill).
- Experience in travel coordination to efficiently manage itineraries, bookings, and travel-related logistics.
- Ability to prepare and manage expense reports with attention to detail and accuracy.
- Efficient meeting scheduling skills to ensure proper planning, agenda setting, and follow-up on actions.
- Proficient in managing emails, including prioritization, drafting responses, and maintaining inbox organization.
Roles and Responsibilities
- Assist top executives in day-to-day administrative tasks, ensuring their time is efficiently managed.
- Manage and coordinate executive calendars, scheduling appointments, meetings, and ensuring they are well-prepared.
- Handle travel arrangements, recruitment, including booking flights, accommodation, and transportation for business trips.
- Prepare and process expense reports, ensuring compliance with company policies and procedures.
- Organize and maintain sensitive documents in an easily accessible manner for executives and staff.
- Facilitate internal and external communication on behalf of executives, maintaining a high level of professionalism.
- Support the preparation of reports, presentations, and correspondence for executive meetings and briefings.
