This is for  a leading global furniture maker that builds innovative products for optimal workplace performance whose operating revenue is in the range of INR 100 cr - 500 cr for the financial year ending on 31 March, 2023.


Job Purpose

We are currently looking for a Facility Manager with emphasis on planning & delivering of all facility related and administrative support services and activities at the site on a day-to-day basis. We are looking for this role to also lead the External Vendor team who will support on all administrative support services and activities.


QUALIFICATIONS:

  • Bachelor’s degree in facility management



Work Experience

  • A professional with hands on 10 years of experience in handling all facility requirements of a larger commercial /residential building, housekeeping management, Vendor/supplier managements, Inventory maintenance, Documents maintenance, BMS, Liaisoning and Co-ordination with all Govt Officers based on requirements.



Key Roles and Responsibilities

  • Direct the planning and delivery of all facility related and administrative support services and activities at the site on a day-to-day basis.
  • To ensure that FM staff provides timely reports to the management and adhere to agreed SLA & KPI. Maintain discipline and quality of work by all staff.
  • Supervises the staff involved in performing the functions of the assigned units.
  • Co-ordinate with OEM for service obligation as per AMC & in case of Breakdown of system.
  • Conduct monthly reviews individually with the various departmental managers – technical, soft services etc..
  • Maintain safe and healthy work environment by establishing, following and enforcing standards and procedures; complying with legal regulations
  • To act as a single point of contact for the designated facility for all FM escalations
  • Coordinating for payments of the site contractors and sub vendors.
  • Oversees activities of contractors, vendor personnel, and suppliers; Monitors contracts for compliance and controls costs; monitors general expenditures of unit; performs quality control inspections to ensure adherence to contract specifications and industry standards.
  • Provide leadership to the facilities management team
  • To plan, implement & adhere to 52 weeks annual M&E maintenance schedule. Assigns and reviews work of subordinates, gives instructions, maintains discipline and resolves difficult buildings and grounds maintenance and security/safety problems.
  • Responsible for overall upkeep of the site to high standards of operations, maintenance and cleanliness.
  • Develops and establishes policies and objectives consistent with those of the organization to ensure efficient and safe operation.
  • Prepares correspondence, statistical, financial and other reports. Establish and maintain essential records and files. Data gathering and reporting on all facility operations.
  • Manage the office services needed to support department operations. Periodically check / amend checklist, operation steps, spares parts consumption analysis. Organize and coordinate formal monthly meetings with all vendors.
  • Run a safe, injury/accident-free workplace
  • Innovate, suggest and implement energy management ideas.
  • Oversees the inventory, rental, repair and maintenance of office equipment. Review with Client coordinator regarding various maintenance issue & improvement of building system.
  • Ensure all safety guidelines/ requirements are adhered to by team members/vendors.
  • Quality Assurance & Quality control
  • Makes periodic inspections of the office building(s) and equipment to determine if janitorial, security and other services are adequate and whether repair work is needed; reviews safety and security equipment and procedures for adequacy.
  • To ensure all statutory documents are updated like CIEG, Fire, Lift, Explosive, Pollution Control, Etc. related to M&E operations and kept in place. Maintains compliance with departmental security, audit procedures, and company management policy.
  • To ensure facility upkeep is maintained in all areas – Housekeeping, Security, Cafeteria, Front office, Helpdesk, Mail Room, BMS, Engineering, Events, Client Visits & other areas of operations as defined in the scope document

  • To ensure proper planning & managing of the Capex & Opex budgets for engineering & operational expenses
