The Front Desk Executive will serve as the initial point of contact for visitors and clients at the Vadodara office, ensuring a professional and welcoming environment. This full-time junior-level role requires candidates with 1 to 3 years of relevant experience who are skilled in handling front desk operations and administrative tasks, supporting the efficient functioning of the office.


Qualifications and Skills

  • Reception Management (Mandatory skill): Demonstrated expertise in managing a busy front desk, ensuring smooth visitor flow, and maintaining organized reception operations.
  • MS Office (Mandatory skill): Proficiency in using MS Office applications such as Word, Excel, and Outlook for documentation, scheduling, and communications.
  • Communication Skills (Mandatory skill): Excellent verbal and written communication abilities for handling inquiries and providing information professionally.
  • Record Keeping: Efficient at maintaining accurate records of visitor details, appointments, and internal communications for reference and compliance.
  • Telephone Etiquette: Skilled in answering and routing calls politely, taking accurate messages, and delivering clear information to callers and staff members.
  • Visitor Management: Experience in welcoming guests, issuing visitor passes, and ensuring that security procedures are followed at all times.

Roles and Responsibilities

  • Act as the first point of contact for all visitors and clients, providing a warm welcome and ensuring a positive guest experience.
  • Manage incoming calls, direct them appropriately, and provide necessary information as per queries in a courteous and efficient manner.
  • Maintain up-to-date records of visitors, calls, and appointments in both physical and electronic formats for smooth daily operations.
  • Assist in scheduling and coordinating internal meetings, interviews, and appointments as required by staff and management.
  • Ensure the reception area remains organized, presentable, and equipped with necessary materials including forms, brochures, and stationery.
  • Support administrative functions by managing courier handling, mail distribution, and other related front office duties.
  • Enforce visitor management protocols and security procedures to safeguard company premises and sensitive information.
  • Collaborate with other departments for office coordination and provide ad hoc support to administrative teams whenever required.
