Internal Recruiter & Admin Coordinator 

Reports to: Management (Japan & India)

Location: REMOTE - (coordination for Japan office needs)

Shift Time: 6:00am to 3:00pm IST


Role Overview:

This position is responsible for end-to-end internal recruitment for our India team, focusing on technical roles, and for managing key administrative and coordination activities between management and teams across both locations. The person will be a first-level filter for all candidate profiles, ensuring only the most suitable candidates move forward, and will handle office/admin processes efficiently.

Key Responsibilities:

Recruitment (Primary Responsibility):

  1. Technical Recruitment
  • Understand technical job requirements for IT and engineering roles.
  • Source candidates via portals, LinkedIn, and recruitment networks.
  • Screen resumes for skills, experience, and cultural fit.

  1. Interviewing Recruiters & Candidates
  • Conduct first-level interviews for technical recruiters joining our company.
  • Assess recruiters’ sourcing capabilities, technical knowledge, and communication skills.
  • Conduct first-level interviews for technical positions to shortlist strong candidates.

  1. Candidate Pipeline Management
  • Maintain a tracker of applicants, interview status, and feedback.
  • Coordinate with management for next-round interviews and final selections.


Admin & Coordination (Secondary Responsibility):

  1. Office Admin & Compliance Coordination
  • Work with the HR compliance agency to ensure documentation, onboarding, and records are up to date.
  • Handle joining formalities, contracts, and personnel files.

  1. Management Communication
  • Act as the link between Japan management and India team, ensuring clarity of instructions and follow-ups.
  • Prepare and share weekly recruitment and admin status reports.

  1. General Coordination
  • Schedule interviews, meetings, and internal reviews.
  • Support procurement of office supplies or remote working tools.

Qualifications & Skills:

  1. Education: Graduate/Post-Graduate in HR, Business Administration, or related field.

  2. Experience:
  • 3–5 years in technical recruitment (IT/Engineering focus preferred).
  • Experience interviewing recruiters is an advantage.
  • Exposure to admin/HR coordination work.

  1. Skills:
  • Strong technical understanding for role-based candidate assessment.
  • Excellent decision-making for filtering quality candidates.
  • Good communication skills in English 
  • Organised, with attention to detail for admin work.

  1. Bonus: Experience working with Japan-based companies or cross-border teams.
