We are looking for a dynamic and organized Meetings & Content Management Specialist to support our internal and external communications through effective meeting facilitation and content handling. This role involves hosting virtual or in-person meetings, managing associated logistics, and curating/distributing relevant content. You will work cross-functionally to ensure meetings run smoothly and that content is consistent, timely, and impactful.


Key Responsibilities:

🧑‍💼 Meeting Hosting & Coordination

  • Schedule, set up, and host recurring or ad hoc meetings, town halls, webinars, and workshops (via Zoom, MS Teams, Google Meet, etc.).
  • Coordinate with speakers, presenters, and participants ahead of each session.
  • Ensure smooth technical execution — manage screen sharing, recordings, breakout rooms, and chat moderation.
  • Prepare and circulate meeting agendas, minutes, and follow-up action points.

📄 Content Management

  • Maintain a structured content repository of meeting materials (presentations, recordings, summaries).
  • Collaborate with teams to gather, review, and publish internal content related to meetings and communications.
  • Ensure consistency and quality in content formatting, branding, and delivery.
  • Manage post-meeting communication including recaps, summaries, or knowledge base updates.

📊 Process & Reporting

  • Track attendance, engagement metrics, and feedback to support continuous improvement.
  • Ensure data security and confidentiality for all internal communications and content.
  • Help standardize templates and guidelines for meeting documentation.


Requirements:

  • Bachelor's degree in Communications, Business Administration, HR, or a related field.
  • 2–3 years of experience in event coordination, communications, or content/documentation roles.
  • Strong experience with video conferencing platforms (Zoom, Teams, WebEx, etc.).
  • Proficient in Microsoft Office, Google Workspace, and document management tools (e.g., SharePoint, Notion, Confluence).
  • Excellent verbal and written communication skills.
  • Strong attention to detail, time management, and ability to multitask.


Preferred Qualifications:

  • Experience in corporate communications, executive support, or employee engagement.
  • Familiarity with knowledge management or intranet platforms.
  • Ability to design simple visuals or presentations (PowerPoint, Canva).
