Job Summary:
We are seeking a proactive, organised, and resourceful individual to support the Executive Director in day-to-day operations. The Assistant will be responsible for managing the Executive Director’s schedule, appointments, communications, and administrative tasks to ensure smooth functioning and optimal time management.
Key Responsibilities:
• Act as the point of contact between the Executive Director and internal/external employees/vendors.
• Manage and maintain the Executive Director’s calendar, including scheduling meetings, appointments, and travel arrangements.
• Handle all forms of communication on behalf of the Executive Director, including emails, calls, and meeting requests.
• Prepare reports, presentations, documents, and briefing materials as required.
• Follow up on tasks assigned by the Executive Director and ensure timely execution by concerned teams or individuals.
• Organise and coordinate meetings, take minutes, and track action items.
• Maintain confidentiality and handle sensitive information with discretion.
• Provide general administrative support, including filing, document management, and office coordination.
• Excellent organisational and time-management skills.
• Strong communication skills (written and verbal).
• Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and scheduling tools.
• Ability to multitask, prioritise, and work under pressure.
