Qualifications and Skills
- 1 to 3 years of experience as a Front Office Executive or in a similar customer-facing role
- Excellent verbal and written communication skills
- Strong interpersonal and customer service skills
- Proficient in operating telephone systems and office equipment
- Familiarity with Microsoft Office suite (Word, Excel, PowerPoint)
- Ability to multitask and prioritize tasks effectively
- Attention to detail and organizational skills
- Ability to work independently and as part of a team
- Positive attitude and professional appearance
- Bachelor's degree in any discipline preferred
Roles and Responsibilities
- Welcome and greet clients, visitors, and vendors with a warm and friendly demeanor
- Manage and maintain the front desk area, ensuring cleanliness and organization
- Answer phone calls, redirect calls, and take messages as needed
- Provide accurate information about the company and its services to clients and visitors
- Schedule appointments and maintain calendars for the team members
- Assist in coordinating meetings and events, including booking conference rooms and arranging for refreshments
- Receive and distribute incoming mail and packages
- Assist in general administrative tasks such as data entry, filing, and photocopying
- Monitor and manage office supplies inventory
- Handle customer inquiries and resolve complaints in a professional and timely manner
- Collaborate with the internal team to ensure seamless communication and coordination
- Adhere to company policies, procedures, and confidentiality standards
- Maintain a positive and professional attitude at all times
