Job Overview

We are seeking a dedicated Mid-Level Office Assistant to join our team in Pune on a full-time basis. The ideal candidate will contribute to daily operational efficiency and support our dynamic team. Reporting directly to the administrative manager, you will play an integral role by providing clerical support and ensuring smooth office operations as part of our thriving firm in the advertising industry.


Qualifications and Skills

  • Attention to Detail (Mandatory skill): Possess a keen eye for detail to ensure accuracy in all task-related activities and minimize errors.
  • Teamwork & Collaboration (Mandatory skill): Demonstrate strong abilities to work effectively within a team environment, collaborating with other departments.
  • Communication Skills (Mandatory skill): Exhibit excellent verbal and written communication skills for efficient interaction with staff and clients.
  • Data Entry: Proficiency in entering and managing data with high precision and speed, ensuring the integrity and availability of information.
  • Google Workspace: Solid understanding of Google Workspace applications to create, edit, and manage documents, spreadsheets, and presentations.
  • Basic Accounting Software: Familiarity with basic accounting software to assist in the processing of financial records and transactions.
  • Document Management: Ability to organize and maintain sensitive documents ensuring easy retrieval and security of company records.
  • Adaptability: Display flexibility and agility to manage multiple tasks and shifting priorities efficiently in a fast-paced environment.


Roles and Responsibilities

  • Manage day-to-day administrative tasks including filing, scheduling, and office organization to ensure consistent and efficient operations.
  • Support data entry tasks, ensuring accuracy and timely management of information across various applications and company systems.
  • Facilitate internal communication by distributing information, answering inquiries, and coordinating meeting logistics.
  • Assist in the preparation and handling of accounting entries and financial documentation, ensuring compliance with internal protocols.
  • Maintain office supplies inventory, anticipating needed supplies, placing orders, and verifying receipt of supplies.
  • Ensure the proper sorting and distribution of incoming communication; manage outgoing correspondence to maintain seamless workflow.
  • Coordinate with the team to ensure project objectives are met and support provided where necessary for successful completion.
  • Execute additional tasks assigned by the supervisory staff, adapting promptly to the varied and dynamic needs of the office environment.
